Heritage Data Retention Policy
As a heritage organisation, the Royal Military Police Museum collect and process publicly available genealogical information. This may include personal data such as a Record Subject’s birth; baptism; marital status; gender; and other personal data, as recorded in publicly available historical documents.
We also collect and process various military records. These are sourced from individual donations to the museum or from historical military documents only held in our permanent collection. Therefore, our database will also include information relating to a Record Subject’s military service that is not necessarily available elsewhere. As a heritage organisation that provides research capabilities, we consider it legitimate to process this information for statistical and historic research purposes.
We also have a responsibility to our living Record Subjects, and this includes removing any information that causes distress. If our processing causes distress to a living Record Subject, please inform our Heritage Officer in writing at Royal Military Police Museum, Postal Point 38, Southwick Park, Hampshire, PO17 6EJ or email: heritageofficer@rhqrmp.org
We may ask for proof of identity and further information, however, once confirmed we will remove the information from our database and cease to publicly share the information that causes distress directly to a Record Subject.
Please also contact us if you consider there is an error or discrepancy in the transcription of a historic record. We will correct any transcription errors, however if the error is contained in the original historic record it will remain unchanged. It is our intention to transcribe the original historic data as is, however a note will be added so that future researchers are aware the original record contained an inaccuracy.
